- To import learners from an external file, you will have
to follow the specified layout and save it as ‘.csv’ file format. CSV means
‘Comma Separated Value’(or alternatively known as “Comma delimited”), in other
words each entry field is separated by a comma (e.g. John,Bloggs,12367).
- In order to assist this operation a <Sample Upload File>
can be accessed from the ‘Import Learner’ screen.

- This sample file must be downloaded and saved to your
local/network hard drive.
- To download the file you can either click on the <Sample
Upload File> link which will initiate the download and automatically open the
file in your preferred spreadsheet application (e.g. Microsoft Excel).

- If you experience problems downloading the file, an
alternative method is to use the mouse and <right-click> on the link and
select <Save Target As…> option.

- When the ‘Save As’ dialog window appears, select a
location where you wish to save it, rename the file to a name which you will
be able to find and retrieve, then click <Save>.
- Once the download is complete you will be presented with
a dialog window giving you the choice to either <Open> the file, <Open Folder>
where the file resides, or <Close> the dialog window.

- It is recommended that you choose <Open> and the file
will be displayed as a spreadsheet (See Step 7 above).
- Once the file is open, select the sample names and
delete them.


- Fill in the names that you do wish to add in the
respective fields as indicated below. Each Learner must occupy a new row.
Do Not delete or alter the first row as this is the control row.

The first column (A) should contain candidate’s First Name, the second column
(B) should contain candidate’s Last Name and the third column (C) should contain
their corresponding Vantage POB number.
- Once you have completed your entries you will need to
save the file as a “.csv” file format. Select <Save As> from the application
save menu and this will display a Save As dialog window.

- Ensure the file will be saved in the directory of your
choosing and rename the file (in the <File name> field) so that you can
recognise and locate it when you come to retrieve it. The <Save as type> field
will already be populated with “CSV (Comma delimited)(*.csv)”, if not, select
it using the drop down menu.

- Once you click <Save>, you will be presented with a
dialog box which asks you if you would like to keep the format as “csv”,
select <Yes>.

- Then you should close the file, which in the case of
Microsoft Excel will invoke a dialog box which asks you if you wish to save
the file again. Assuming that you have previously saved the file you should
select <No> option.

Select ‘No’ from the above
dialog box.
